Event QR Code: Add a Date to the Calendar in One Scan

An event QR code contains a calendar entry, so scanning it offers to save the title, start and end time, location and description to the phone calendar. Guests no longer need to copy details from a poster by hand, and the time zone is handled correctly.

Inside an event code

The code holds an iCalendar (RFC 5545) block: BEGIN:VCALENDAR, then BEGIN:VEVENT with fields such as SUMMARY, DTSTART, DTEND, LOCATION and DESCRIPTION, closed by END:VEVENT and END:VCALENDAR. Times are converted to UTC when you choose a time zone, so a webinar at 10:00 in Seoul appears at the right local time for someone in Berlin. All-day events use a date-only value.

Compatibility notes

  • Android scanners and many third-party apps open calendar data directly.
  • Some versions of the iPhone camera app show event codes as text rather than offering to add them; mention a backup link or the date in plain text on your poster.
  • Keep the description brief, because long notes make the code dense.
  • Recurring rules and attendee lists are not included, to keep the code compact and widely readable.

Event planning tips

Put the event code on invitations, posters, tickets and slides at the end of a talk. Pair it with a location code for venues that are hard to find. Since the code is static, double-check the date and time before printing; if the schedule may still change, link to an event page you control instead and update that page.

How to make it

  1. Open Create and choose Event.
  2. Enter the title, start time, optional end time and the time zone.
  3. Add the location and a short description.
  4. Scan the preview with your own phone to confirm the times, then download or print.

Frequently asked questions

Does an event QR code update if the time changes?

No. The details are fixed inside the code. For events that may move, use a URL code pointing to an event page you can edit.

Why does my iPhone show the event as text?

Calendar support in the built-in camera varies by iOS version. A scanner app that understands iCalendar, or a printed backup link, solves this.

Can I add a reminder or alarm?

Reminders are set by each person in their own calendar app after saving. Keeping alarms out of the code makes it smaller and more compatible.
